Opening Procedure SOP
Follow this sequence every morning. Estimated time: 45-60 minutes before the first member arrives.
Security Disarm & System Boot (10 min)
Arrive at least 15 minutes before the first scheduled member check-in. Follow these steps in order:
- • Disarm the security alarm using your unique code
- • Unlock all entrance doors and verify they open freely
- • Turn on main electrical panel — do not use breakers marked "emergency only"
- • Boot up the member management system on the front desk computer
- • Verify GymForce dashboard shows "System Online" and all devices are connected
- • Test the biometric scanner with your own fingerprint
- • Check that CCTV recording has started (green LED = recording)
Equipment Activation & Inspection (20 min)
- • Turn on all treadmills and verify each displays correctly

- • Check that trash bins in all areas are empty
Closing Procedure SOP
Start closing procedures 30-45 minutes before the published closing time. Do not rush members out, but begin cleaning areas that are already empty.
Member Clear & Deep Clean (30 min)
- • 30 min before close: Announce "closing in 30 minutes" over intercom 2x
- • 15 min before close: Announce "closing in 15 minutes" and begin cleaning empty areas
- • At closing time: Lock main entrance, keep exit door accessible
- • Deep clean every machine with disinfectant — don't skip any
- • Mop all hard floors, vacuum carpeted areas and studio
- • Clean and sanitize all locker room surfaces, showers, and toilets
- • Empty every trash bin and replace liners
- • Collect lost items, log them in the lost & found book
System Shutdown & Security (15 min)
- • Run the end-of-day report in GymForce and verify all data is accurate
- • Process any pending payments or failed transaction retries
- • Log any equipment issues or incidents in the daily log
- • Turn off all non-essential equipment: cardio machines, audio system, TVs
- • Turn off lights in all areas except emergency lighting
- • Verify no members remain in the building — check locker rooms, restrooms, studio
- • Lock all exterior doors and verify they're secure
- • Set security alarm and exit through designated door

When shifts overlap, use this structured handover to ensure continuity:
Handover Checklist:
- • Review any member issues or incidents from the shift
- • Note equipment that needs maintenance
- • Share upcoming class schedule changes
- • Mention new members who joined and should be welcomed
- • Flag any payment or billing issues in progress

Emergency Opening/Closing Procedures

Power Failure
Use backup generator if available. If not, evacuate members calmly, issue refunds for missed time, and post closure notice on GymForce member app. Do not leave the gym unlocked.
Medical Emergency
Call ambulance first, then manage crowd. Clear the area around the member. Assign one staff to direct paramedics. Log incident in GymForce incident report module.
Fire Alarm
Evacuate immediately through nearest exit. No exceptions. Gather at designated meeting point. Do not re-enter until fire department gives clearance. Call all members if closing early.
Water Leak/Flood
Turn off water main valve. Move equipment away from water. Mop up standing water. If severe, close the gym and notify members via GymForce broadcast. Call plumber immediately.
