What is GymForce?

GymForce is India's all-in-one gym management software (Gym OS) that helps gym owners automate member billing, attendance tracking, WhatsApp communication, staff management, and business analytics. It is built specifically for the Indian fitness market with native UPI, WhatsApp, and GST support.

Who is GymForce built for?

GymForce is built for independent gym owners, boutique fitness studios (yoga, CrossFit, Pilates), martial arts schools, personal trainers managing client rosters, and multi-branch gym chains across India.

Is GymForce only for India?

GymForce is primarily designed for the Indian market, with INR pricing, UPI/Razorpay integration, GST invoicing, and Hindi support. International gyms can use it, but certain features (UPI, GST) are India-specific.

What languages does GymForce support?

GymForce's main interface is in English. WhatsApp message templates support Hindi and English. Regional language support (Tamil, Kannada, Marathi, Telugu) for the member app is on the roadmap for 2027.

Is there a mobile app for gym owners?

Yes. GymForce has an owner/manager mobile app for Android and iOS that lets you monitor attendance, review revenue dashboards, send broadcasts, and manage members on the go.

Is there a mobile app for members?

Yes. The GymForce member app (Android + iOS) lets members view their membership status, book classes, make payments, check in via QR code, and receive gym communications.

Does GymForce work offline?

Core attendance check-in works in offline mode and syncs when connectivity resumes. Billing, reporting, and WhatsApp functions require an active internet connection.

How secure is member data on GymForce?

GymForce uses AES-256 encryption for data at rest, TLS 1.3 for data in transit, and stores all data on AWS servers located in India (Mumbai region). Role-based access ensures staff only see the data relevant to their role.

Is GymForce GDPR / DPDP compliant?

GymForce complies with India's Digital Personal Data Protection Act (DPDP Act, 2023). GDPR compliance for European members is partially implemented — contact the GymForce team if this is a requirement.

Who owns the data if I cancel?

You own your data. When you cancel, GymForce provides a full data export (CSV) of all member records, payment history, and attendance data. Data is retained on GymForce servers for 90 days post-cancellation, then permanently deleted.

Pricing & Billing Questions

How much does GymForce cost per month?

GymForce plans start at ₹4,999/month (Starter, up to 200 members), ₹8,999/month (Growth, up to 600 members), and ₹14,999/month (Pro, up to 2,000 members). Enterprise pricing is custom. All prices exclude 18% GST.

Is there a free trial?

Yes. GymForce offers a 14-day free trial with full access to Growth plan features. No credit card is required to start the trial.

Can I switch plans later?

Yes. You can upgrade or downgrade your plan at any time. Upgrades take effect immediately. Downgrades apply from your next billing cycle.

Is pricing per gym or per member?

GymForce is priced per gym location with a member capacity limit per plan. If you exceed your plan's member limit, GymForce will notify you and suggest an upgrade. There is no per-member charge within plan limits.

Are there setup fees?

No setup fees on any standard plan. GymForce's optional paid onboarding service (data migration + guided setup call) is available for ₹4,999 one-time for gyms with complex data migration needs.

What payment methods can I use to pay GymForce?

GymForce subscriptions can be paid via UPI, credit/debit card, net banking, or corporate NEFT/RTGS for annual plans. All payments go through Razorpay's secure payment gateway.

What happens when my trial ends?

At the end of your 14-day trial, you can continue by choosing a plan and entering payment details. If you don't subscribe, your account is paused (not deleted) for 30 days. All data is preserved.

Do you offer discounts for annual billing?

Yes. Annual billing saves 20% across all plans — equivalent to 2.4 months free. The discount is applied automatically when you select annual billing at checkout.

Is GST charged on GymForce subscriptions?

Yes. 18% GST is applied to all GymForce subscription fees. A GST-compliant invoice is issued every month to your registered business email and GSTIN.

What is GymForce's refund policy?

GymForce offers a 14-day money-back guarantee for first-time subscribers on annual plans only. Credits used during the refund period will not be refunded. No monthly plans are available.

Can GymForce manage group classes and PT sessions?

Yes. Class scheduling with capacity limits, waitlists, instructor assignment, and member self-booking is included in Growth plan and above. PT sessions can be tracked as 1:1 appointments with attendance logging.

Does GymForce support biometric attendance?

Yes. GymForce integrates with ZKTeco, ESSL, Realand, and Mantra biometric devices on the Growth plan and above. Check-in access is automatically granted or denied based on real-time membership status.

Can I freeze a member's membership?

Yes. Any active membership can be frozen with a specified start and end date. The membership expiry date is automatically extended by the freeze duration. The member loses gym access during the freeze period.

Does GymForce send automatic renewal reminders?

Yes. GymForce sends automated renewal reminders via WhatsApp (and SMS as fallback) at 7 days, 3 days, 1 day before expiry, and on the expiry date. Reminder timing is fully configurable.

Can I customise the WhatsApp messages?

Yes. All WhatsApp message templates are customisable within GymForce's message editor. Templates must comply with Meta's WhatsApp Business Policy and are pre-approved during setup.

Does GymForce generate GST invoices automatically?

Yes. Every payment processed through GymForce generates a GSTIN-compliant invoice automatically with your gym's GSTIN, member's details, HSN code, and correct GST breakup (CGST + SGST). Invoices are sent via WhatsApp and email.

Can I run multiple membership plans at once?

Yes. GymForce supports unlimited membership plan types simultaneously — monthly, quarterly, annual, batch-based, day passes, and custom durations. Members can be on different plans concurrently.

Does GymForce have a diet or workout tracking feature?

Basic workout logging is available in the member app. Advanced diet and workout planning is not a core feature — GymForce focuses on gym operations, not personal training software. Trainerize or Virtuagym are better fits for deep coaching features.

Can members book classes from the app?

Yes. Members can browse the class schedule, book available slots, join waitlists for full classes, and cancel bookings — all from the GymForce member app. Booking confirmations go via WhatsApp.

Does GymForce support walk-in / day-pass members?

Yes. GymForce has a dedicated day-pass membership type. Walk-ins can be checked in manually or via a QR code printed at your front desk. Their payment and attendance are logged separately from regular members.

Which payment gateways does GymForce support?

GymForce natively integrates with Razorpay (recommended), Stripe, PayU, and Cashfree. Razorpay is the default for Indian gyms due to its comprehensive UPI, auto-debit, and GST support.

How does the Razorpay integration work?

You connect your existing Razorpay account to GymForce using an API Key ID and Secret Key from your Razorpay dashboard. Once connected, all member payments go through Razorpay and settle to your bank account. Reconciliation is automatic inside GymForce.

Can I connect GymForce to Tally or Zoho Books?

GymForce provides a Tally-compatible data export (XML/CSV) for accounting reconciliation. Zoho Books can be connected via the REST API or Zapier. A native Tally plugin is in development for Q3 2026.

Does GymForce have an API?

Yes. GymForce's REST API is available on Pro and Enterprise plans. It covers member data, payments, attendance, classes, and staff. API documentation is at developers.gymforce.in. Webhooks for real-time events are also supported.

Can I import data from my old software?

Yes. GymForce accepts CSV imports from any gym software or spreadsheet. The import template is available in Settings → Members → Import. GymForce's migration team can assist with data extraction from FitnessForce, Gymowl, and other platforms.

Which biometric devices work with GymForce?

GymForce supports ZKTeco, ESSL, Realand, and Mantra biometric fingerprint and face-recognition devices. For RFID, most standard 125KHz and 13.56MHz card readers work. Contact support if you have a specific device to confirm compatibility.

Does GymForce integrate with WhatsApp Business API?

Yes. GymForce uses the official Meta WhatsApp Business API. You connect your business WhatsApp number through a guided setup flow in GymForce. A dedicated, verified WhatsApp Business number is required.

Can I export my data?

Yes. You can export member lists, payment history, attendance records, and reports as CSV or PDF from the GymForce dashboard at any time. Data export is available on all plans.

How long does setup take?

A standard setup (account creation, plan building, member import, Razorpay, WhatsApp) takes 3–5 hours for a gym with under 500 members. Larger gyms with complex data may take 1–2 days.

Do I need a tech person to set it up?

No. GymForce is designed for gym owners, not developers. The entire setup is guided with no code required. If you can use WhatsApp and Excel, you can set up GymForce.

Does GymForce offer onboarding support?

Yes. All new accounts get a free onboarding call with a GymForce specialist. In-app live chat support is available 9am–8pm IST, 7 days a week. Enterprise accounts get a dedicated account manager.

Can I migrate from my existing gym software?

Yes. GymForce accepts CSV imports from any source. The team can assist with data extraction from FitnessForce, Gymowl, GymMaster, or custom systems. Paid migration assistance is available for complex datasets.

How do I train my staff on GymForce?

GymForce provides a role-specific training module inside the dashboard. Front desk staff typically need under 30 minutes to learn check-in and registration. Managers may need 1–2 hours to learn billing and reporting. GymForce also offers group training calls.

What if I get stuck during setup?

In-app live chat is available during business hours. You can also book an additional guided setup call from the support menu. Most issues are resolved within 30 minutes via chat.

Does GymForce support multiple gym locations?

Yes. Pro plan supports up to 5 branches. Enterprise supports unlimited branches. Each branch has its own member data, billing, and attendance records, accessible from a centralized owner dashboard.

Yes. Each branch can have its own set of membership plans and pricing. Corporate members can be enrolled across branches at a unified rate if required.

Is there a central dashboard for chains?

Yes. The owner dashboard aggregates revenue, attendance, and membership data across all branches into a single view with branch-level drill-down for detailed analysis.

Can I white-label GymForce for my brand?

Yes, but only on Enterprise. White-labelling includes a branded member app (your gym's name and logo on the App Store), branded email templates, and a custom domain for the member portal.

What is GymForce's uptime guarantee?

GymForce guarantees 99.9% uptime (less than 8.7 hours downtime per year) on Pro and Enterprise plans, backed by an SLA. Starter and Growth plans target the same uptime but without formal SLA credit terms.
